PilaBarre’s business runs on two tracks: direct-to-consumer sales through the storefront, and a growing B2B side selling through partners and wholesale accounts. All of it flows through Shopify, but Shopify only shows that an order exists, not where it stands. The operational layer underneath (where each B2B order is in its process, what’s on order from suppliers, which POs have landed) was run out of spreadsheets and email. PilaBarre needed tooling built around the whole operation, with B2B tracking and a real PO system at the top of the list.
The Challenge
Orders in Shopify, operations in spreadsheets
Shopify captured the orders. Everything after that lived in spreadsheets. For DTC, an order in Shopify is most of the story. For B2B, it’s just the beginning: a wholesale order moves through stages (confirmed, prepared, fulfilled, invoiced, settled) and none of that process had a home. The moment a partner order landed, tracking it meant a spreadsheet row and an email thread, and answering “where is this order right now?” meant finding both. There was no per-partner view of what was outstanding, what had shipped, or what each account was worth over time.
The supply side had the same problem in the other direction. Purchase orders and supplier information ran entirely on spreadsheets and email, so there was no reliable view of what was on order, which POs were outstanding, which had landed, or when incoming stock would actually arrive. Answering “what’s coming in, from whom, and when?” meant digging, every time.
Between B2B orders going out and POs coming in, both ends of the operation were being tracked by hand. What PilaBarre needed wasn’t a point fix; it was tooling that covered the whole flow.
The Solution
The missing operational layer
Working with Retool, we built PilaBarre a dashboard that sits on top of Shopify and adds everything underneath it: orders pull in automatically, and the operational data gets a structured home, replacing the spreadsheets and email threads entirely.
On the B2B side, every wholesale order is now tracked through its full lifecycle (confirmed, prepared, fulfilled, invoiced, settled) so the team can see exactly where any order stands at any moment, not just that it exists. Each partner account has its own record with order history, volumes, and outstanding balances, so who’s ordering, how often, and what’s owed is visible at a glance instead of reconstructed from threads.
On the supply side, a full PO system. Every purchase order lives in the platform with its status visible at all times (outstanding, in transit, landed) so the team always knows what’s on order, what’s arrived, and what’s still owed by a supplier. Receiving updates stock in real time, and expected arrivals feed directly into the inventory picture. Suppliers are tracked in the same system, each with their own record and PO history. No more digging through inboxes to reconstruct a relationship.
Inventory and product data live in the same platform, tying it all together: one tool covering the operation from placing a PO with a supplier to settling an order with a wholesale partner.

The Results
The whole flow, in one system
PilaBarre can now see both ends of the operation at once: what’s on order from suppliers and when it lands, and where every partner order stands on its way out the door. Questions that used to mean digging through inboxes and spreadsheets (which POs are still outstanding, where is this wholesale order, what does this partner owe) are answered in seconds from one screen.
Both the wholesale channel and the supply chain scale without the tracking overhead scaling with them: a new partner or a new supplier is a new record, not a new spreadsheet. And because the platform was built around PilaBarre’s actual workflows, new processes get built into the tool, not around it.
The Conclusion
Shopify told PilaBarre what was ordered; it couldn’t tell them where anything stood. The platform adds the operational layer underneath (B2B lifecycles, POs, suppliers) so a two-track business with a real supply chain finally runs from one system instead of a pile of spreadsheets.
