The Challenge
Two order worlds: Shopify online, spreadsheets in the showroom
Casa Di Luce’s e-commerce orders ran through Shopify, but showroom sales lived in a different world. For every in-store purchase, the sales team built invoices by hand in spreadsheets, then reconciled them against the online operation later.
Shopify’s POS looked like the obvious choice, but the team required additional customizations such as printing custom invoices and capturing partial payments before fulfilling orders. Extra data (payment notes, commission totals, PO numbers) wasn’t being captured in Shopify. So the team was stuck: either lose that data inside Shopify’s limits, or keep two disconnected systems and spend hours managing and reconciling invoice data by hand.
The Solution
One invoicing workflow, with Shopify as the single source of truth
Clouver built Casa Di Luce, an internal invoicing system on Retool, wired directly into Shopify via the GraphQL API, so the flexibility lives in the interface while every order stays in Shopify.
Unified order dashboard: the sales team sees all online and in-store orders in one Retool view instead of two systems
Guided draft-order workflow: in-store invoices create real Shopify Draft Orders via the GraphQL API, with the extra fields (payment notes, commission totals, PO numbers, customer notes) stored as Shopify metafields, keeping all data in the Shopify ecosystem
One-click exports: the export handles all data querying automatically, so admins click a button and receive the full spreadsheet, no matter how large the dataset
The Results
Hours back every week, and one system of record
Invoicing that used to mean manual spreadsheets and reconciliation is now a single guided workflow. The sales team creates an in-store invoice, captures every field and detail they need, and prints the templated invoice for the customer, without leaving Retool and without any data living outside Shopify.
